Customize your client statuses

The eleven stages Velosiq ships with are a starting point, not a rule. Every trade words its pipeline differently — a photographer's "Booked" is a landscaper's "Scheduled" is a consultant's "Engaged". Make the list say what you'd say.

Go to Settings → Clients → Statuses — Settings is the gear icon in the account menu, top right, and every settings screen is a tab across the top of it.

What you can change

  • Rename any stage, including the built-in ones. This changes the label everywhere — the Clients list, the filter, the client form.
  • Recolour any stage from the swatch palette.
  • Reorder by dragging the handle on the left of each row. This order is your pipeline: it drives the filter dropdown, the order stages appear in the client form, and how the Status column sorts. The first stage is what new clients get by default. (Prefer the keyboard? Tab to a handle and use the up and down arrow keys.)
  • Add your own with New status. Give it a name and a colour and it appears at the bottom — reorder it into place.
  • Archive a stage you've stopped using. It disappears from the pickers, but clients already sitting on it still display correctly.

Automation, per stage

Each stage has a checkbox: "Automation can move clients out of this stage."

Leave it on for ordinary pipeline stages. Sending a proposal or taking a payment will move the client forward, which is what you want.

Turn it off for stages you set deliberately and want to stick. Out of the box it's off for Active, Inactive and Lost — so re-pitching a client you'd written off won't quietly drag them back into the funnel.

Two stages also carry a badge you'll see on the settings page:

  • "Set when a proposal is sent" — where sending a proposal moves clients.
  • "Marks a client won" — where an accepted proposal or a payment moves them.

You can rename and recolour those two freely; the automation follows the stage, not the name. What you can't do is archive or delete them, because then the automation would have nowhere to put anyone.

What you can't delete

Built-in stages can be renamed but not deleted. That guarantee is what keeps every client resolvable: no one ends up sitting on a stage that no longer exists. If you don't use one, archive it instead.

Stages you created can be deleted. If any clients are still on it, Velosiq asks where to move them first, then deletes the stage and reassigns them in one go.

A note on the underlying key

Each stage has a short key beneath its name — waiting_on_client, proposal_sent. That's what's stored on each client record, and it never changes, even when you rename the stage. You only need it for spreadsheet imports, and even there the visible name works just as well.
