The activity log
Settings → Activity is a running record of everything that happens in your account. Every change is written automatically — there is nothing to turn on and nothing to configure.
It answers the questions a shared account eventually raises: who moved this invoice to paid, who deleted that client, who changed someone's role, and was that really a client who signed the proposal.
Who can see it
Only owners and admins. Members can use the app normally but cannot open the log or see what their colleagues did.
What gets recorded
Your team's changes — creating, editing and deleting clients, invoices, payments, proposals, projects, expenses, assets and products, plus every settings change. Editing an invoice records that the due date moved from one date to another, not merely that "something was edited".
Sign-in activity — successful sign-ins, and failed attempts, including the email address someone tried. A run of failures against your address is worth looking at.
Team changes — invitations sent, invitations accepted, role changes, and members removed. When you remove someone, their past entries stay: the log keeps their name so the history still reads correctly.
What your clients do — when a client opens a proposal you sent, and when they accept or decline it. An acceptance records the name they typed and the IP address they signed from, which is what makes it hold up if it is ever questioned.
Things Velosiq does for you — invoices flipped to overdue, payment reminders sent, follow-up workflow emails sent or failed, plan changes from Stripe, and trials ending. These are marked as system actions so it is clear no person did them.
Downloads — invoice and proposal PDFs, receipts, and project files. Ordinary browsing is not recorded: opening your client list a hundred times adds nothing to the log.
Reading an entry
Each row shows when, who, and a plain-language summary. Click the arrow at the end of a row to expand it and see the field-level detail:
due_date 2026-08-01 → 2026-08-15
status draft → sent
Struck-through text is the old value; bold is the new one. The expanded view also shows the IP address and browser the change came from.
Filtering
Use the filter bar to narrow by category (invoices, clients, auth, payments…), by person, or by a date range. The search box matches the summary text, the item name, and the person's name — so typing an invoice number finds everything that ever happened to it.
How long entries are kept
History length depends on your plan:
| Plan | History kept |
|---|---|
| Free | 30 days |
| Starter | 90 days |
| Professional | 1 year |
| Business | For as long as your account is open |
Older entries are removed automatically. The log itself cannot be edited or deleted by anyone, including you — that is what makes it worth having.
Not the same as the invoice activity log. Each invoice keeps its own short history on the invoice page (see The invoice activity log). This one covers your whole account.
