The 6am that never showed still cost you the 6am.
Automatic reminders before every session, no-shows you can count instead of guess at, and packages sold as blocks — without a second app for the money.
Your inventory is an hour, and it expires.
A trainer sells time, and time that goes unused is gone — you cannot resell Tuesday at six once Tuesday at six has passed. So the two things that quietly decide whether the month works are how many sessions get missed and how many clients renew. Most trainers track both in their head, in a phone calendar, and in a payment app that knows nothing about either.
The most expensive thing in the week
A missed session is not a small annoyance, it is a whole billable hour with a drive attached. Velosiq sends the reminder automatically so the forgotten ones stop being forgotten, and records the ones that happen anyway so you can see whether it is a pattern or a bad fortnight.
Reminder before every session
Automatic, 24 hours ahead by default, adjustable to whatever fits your clients.
No-show is a real status
Appointments are scheduled, completed, cancelled or no-show — so the number exists.
Cancellations look different from absences
A client who cancels and a client who does not turn up are recorded separately, because they are different problems.
From first enquiry to a renewed block
The loop a training business actually runs on, rather than a generic sales funnel.
Intake
Create the client, note their goals and any scheduling constraints on their record. Ordinary business context — not clinical notes.
Sell the block
Invoice a block of sessions as a priced service. The client pays by card or bank transfer from a link.
Book the sessions
Put them on the calendar against the client, and sync to your phone calendar if you want them there too.
Reminders go out
Each client gets an automatic nudge before their slot. You do not send it.
Mark what happened
Completed, cancelled or no-show. Thirty seconds a session, and the pattern becomes visible.
Renew before it lapses
You can see who is coming to the end of a block and who has quietly stopped booking, which is when a renewal conversation still works.
Sold as a block, paid up front
Session-by-session payment is the fastest route to an unpredictable month. Set your blocks up as priced services, invoice them up front, and let clients pay by card or bank transfer straight into your own Stripe account — Velosiq never holds the money.
Blocks as priced services
Ten-session blocks, assessments, programme design — priced once, reused on every invoice.
Paid by link
Card or bank transfer. The invoice marks itself paid when the payment clears.
Split across two months
A client paying a block in two parts is recorded as part-paid, and each payment counts toward revenue as it lands.
Who is carrying your month
Per-client revenue shows which handful of clients your income actually depends on.
What this is not
Velosiq runs the business around the training. It is not coaching software and does not try to be.
- — It is not a place for health or medical records. No HIPAA posture, no clinical data handling.
- — It does not write programmes, track sets and reps, or log workouts.
- — It has no nutrition planning or macro tracking.
- — It does not decrement a session balance automatically as you book.
Questions, answered
What trainers ask before moving their week into it.
Will it actually reduce no-shows?
It sends every client an automatic reminder ahead of their session — 24 hours before by default, adjustable. That will not fix a client who has decided not to come, but a good share of missed sessions are simply forgotten, and those are the ones a reminder recovers. When one happens anyway you can mark the appointment as a no-show, so it becomes a number rather than an impression.
Can I sell blocks of ten sessions?
Yes. Set the block up as a priced service and put it on an invoice as a line item, so the client pays for the block up front and you have a record of what was sold. Worth being precise about one thing: Velosiq does not run a session counter that ticks down automatically as you book — you book the sessions on the calendar and the package is what was invoiced.
Does it sync with the calendar on my phone?
It can. Connect your Google Calendar and sessions booked in Velosiq appear there, which for most trainers is the difference between using a system and quietly going back to the phone calendar. It is optional — everything works without it, you just check the schedule in Velosiq instead.
Can clients book their own slots?
Yes. The client portal shows the times you have open and lets a client book without messaging you first, and they can see and pay their invoices in the same place. For a trainer running a full week that removes most of the back-and-forth.
Can I store client health information in it?
Please do not. Velosiq is business software — bookings, packages, invoices and payments — and it has no HIPAA posture or clinical-records handling. The notes field is meant for ordinary business context like goals, session preferences or scheduling constraints. Anything medical belongs in a system built and certified for it.
